How to handle old Purchase Orders

If you are trying to clear ‘old’ purchase orders, using the Purchases Clearing report (Purchase Order | Period End | Purchases Clearing Report) to identify open amounts on purchase orders might be helpful.  The report includes the quantity ordered, received, and invoiced. If these three quantities do not match, the purchase order remains in a Backorder Status until they reconcile.


To explain the screenshot, all three purchase orders are on the report since the Quantity ordered ≠ Quantity Received ≠ Quantity Invoiced. 

Purchase Order No. 1 – Since you received a quantity of 12, enter a receipt of invoice for a quantity of 12.  Then update the quantity ordered column on the purchase order to 12.

Purchase Order No. 2 – Enter a receipt of invoice for a quantity of 10 to complete the purchase order. 

Purchase order No. 3 – Enter a receipt of goods for a quantity of 5 (since you were already invoiced for a quantity of 5).  Then, either change the quantity ordered to 5 or wait to receive the rest of the order.

If these are old purchase orders and you don’t want to affect inventory, you can do a $0 receipt of invoice to bring the quantity invoiced up or down to match the quantity received

Note: A completed PO remains in Purchase Order Entry until the Number of Days to Retain Completed Purchase orders, defined in Purchase Order, Setup, Purchase Order Options is exceeded, and Period end processing or Purge Completed POs is performed. 
Starting with the v2015 version, PO History is now retained (similar to Sales Order history) so you may not need to keep as many days for completed POs.
